Job DescriptionCoila Church is seeking to hire an Administrative Assistant for an active and growing rural congregation of 150 people. Starting salary will be $16-20 an hour, based on experience. Expected part-time work is 15-18 hours a week, roughly three days in-office with options to work from home. Contract will be one year from start date, renewed annually. Position begins November 1, 2024.
Tasks
Essential Duties and Responsibilities of the Administrative Assistant
Reports to and works closely with the Pastor to review, plan, and execute programs of the church; purchases supplies and resources for those programs; facilitates the flow of information and communication between the pastor, church boards, and the congregation
Welcomes and gladly assists all persons visiting the church building and office; assists those using the church facilities
Maintains regular office hours during the work week; keeps an orderly and clean office and filing system; manages office supplies, keeps track of office inventory, and purchases more as needed.
Answers all incoming calls during office hours, taking messages as needed, and delivering them to the appropriate people; responds to mail correspondences, including post office mail, general email inquiries; prepare and mails all correspondence
Manages the church’s schedule and calendar, accounting for program dates, special holidays, and events in the church facilities; Field all building requests duties, connecting with our Facility Use Committee, Trustees, and other point people for outside events, getting the necessary dates and paperwork to individuals and groups
Notifies the congregation and community of programs, events and church via multiple methods including Sunday morning slide and publishing a monthly church newsletter
Prepares annual meeting information, including all papers and packets that the congregation needs in advance of that meeting
Book conferences for church leaders, including flights, hotels, conference registrations
Requirements
Required Knowledge, Skills and Abilities
Must be an able and willing employee of the church, comfortable with a wide range of individuals from various backgrounds; must manage time well and stick to weekly deadlines.
Must be emotionally confident, courteous and tactful with the congregation and community; must exercise exceptional judgment in dealing with sensitive and personal issues, refusing to entertain or perpetuate gossip.
Must have good computer and online skills, including a working knowledge of social media, adequate word processing and data skills; must be able to communicate effectively both verbally and in writing.
Education and Experience
High school diploma or GED equivalent required.
Associate’s degree or Bachelor’s degree recommended.
Clerical or administrative experience preferred.
