We are seeking a detailed-oriented and patient focused Specialty Scheduler & Prior Authorization Specialist to support our urinary incontinence specialist and our DNP providing mental health services (including depression and anxiety management). This position plays a vital role in coordinating patient access to care by managing appointment scheduling, securing prior authorization, and ensuring patients are fully informed and prepared for visits and procedures. The hours for this role would be Monday-Friday, 8:30 a.m. - 5:00 p.m. This position will be based at least 2 days in office.Job Responsibilities: SchedulingSchedule in-office consultations for urinary incontinence patients at major hub locations. Schedule surgical cases for urinary incontinence patients, including coordination with hospital scheduling departments. Schedule both in-person and telemedicine visits for the DNP caring for patients with depression and anxiety. Manage appointment rescheduling, cancellations, and appointment reminders in coordination with clinical workflows. Ensure provider templates are appropriately maintained and optimized to meet access and efficiency goals. Prior Authorization Submit and track prior authorization for applicable scheduled services, including in-office procedures and surgical procedures. Collaborate with clinicians and clinical teams to ensure timely submission of required documentation. Follow up with insurance companies and escalate issues when necessary to avoid delays in care. Surgical Coordination Coordinate with hospital staff to book surgical proceudrs for eligible patients. Provide pattens with clear communication about their surgical plan, including pre-operative instructions and logistics. Notify patients of their financial responsibility, obtain necessary payment prior to surgery, and coordinate with the billing department as needed. Job Qualifications: High school diploma or equivalent required; associate or MA certification preferred. Minimum of three years of experience I medical scheduling, prior authorization, or surgical coordination. Experience with specialty care scheduling. Familiarity with insurance verification and prior authorization processes. Strong communication and customer service skills, with the ability to communicate complex information in a patient-friendly way. Highly organized and able to massage multiple priorities in a fast-paced environment. Proficiency in EHR systems and scheduling software. Preferred Skills: Knowledge of urogynecology surgical procedures and terminology. Experience coordinating telemedicine workflows. Understanding of insurance benefits structures, including co-pays, deductibles, and prior-authorization requirements.
