We’re Whiteboard Geeks — a small creative agency that makes scroll-stopping whiteboard videos for some pretty big names (think AstraZeneca, Tyson Foods, St. Jude, and more). We’re looking for a sharp, detail-obsessed, and highly reliable Sales Assistant to join our fast-moving, creative team part-time — with the opportunity to grow into a full Executive Assistant role to the CEO.
You’ll start by supporting our current EA on day-to-day sales coordination and admin tasks, and over time, you’ll take full ownership of those tasks as she transitions out (we’re heartbroken, but happy for her next chapter!). If you thrive in a highly organized, fast-paced, results-oriented environment — we want to hear from you.
What You’ll Start With:
You’ll train directly with our EA and help support her on the following recurring tasks:
• Monitoring and organizing inboxes (checking for declines, bounced emails, LinkedIn connection requests, etc.)
• Processing meeting confirmations and updating internal records
• Flagging anything important or urgent that needs review
• Helping manage email sequences and CRM tasks
• Supporting light list management and mailer coordination
• Keeping a clean digital house (task closures, quick follow-ups, etc.)
Within 1-2 Months:
As you learn the ropes, you’ll fully take over the above and work more independently. From there, you’ll begin supporting our CEO more directly and learn the deeper inner workings of how we operate, communicate, and prioritize.
On the opposite side of the coin: if we don’t think it’s a fit, we are too small to not protect our resources, so we will have to say goodbye.
Long-Term Growth Opportunity:
This role is designed to grow into a full Executive Assistant position — someone who can:
• Think strategically about how workflows tie together
• Protect the CEO’s time and focus
• Anticipate needs before they’re spoken
• Communicate clearly and professionally on the CEO’s behalf
• Help drive projects forward by owning follow-ups, next steps, and details

• Client-Minded: You understand that our goal is to build great relationships — and that every interaction matters
Bonus Points if You Have:
• Experience supporting a CEO and/or sales team
• Familiarity with Close.io, Gmail, Google Calendar, and/or basic automations/writing scripts
• A love for organizing chaos into calm
This is a remote position, flexible hours (though some overlap with Eastern Time is needed) we are anticipating up to 30 hours per week, with hours varying based on the needs of the role. It’s ideal for someone who wants a long-term home with a growing, values-driven team — and who is excited to grow in both responsibility and impact.
