<h3><strong>We are seeking a highly organized and adaptable Bookkeeper Executive Virtual Assistant to provide high-level administrative support. This dynamic role blends executive assistance with bookkeeping and property management coordination.</strong></h3><p></p><p><strong>Key Responsibilities:</strong></p><ul> <li> Manage email and calendar communications with precision and discretion </li> <li> Coordinate meetings, appointments, and schedules </li> <li> Track projects and ensure timely progress updates </li> <li> Facilitate team communication and manage resource coordination </li> <li> Provide HR tracking support, such as onboarding documentation and staff updates </li> <li> Assist in light property management coordination </li> <li> Perform basic bookkeeping tasks: </li> <ul> <li> Data entry and transaction categorization </li> <li> Invoice tracking and follow-up </li> <li> Generate simple reports using <strong>QuickBooks Online</strong> and <strong>Buildertrend</strong> </li> </ul> </ul><p><strong>Requirements</strong></p><p></p><ul> <li>Has at least <strong>2 years of Executive Virtual Assistant</strong> experience or similar to it</li> <li> <strong>1- 2 years of hands-on experience with QuickBooks (Online or Desktop)</strong>, including reconciliation and basic reporting</li> <li>Familiarity with tools such as MS Outlook (email, calendar, contacts), MS Excel, Word, QuickBooks Online, Buildertrend (training will be provided)</li> <li>Able to quickly learn new software and adapt to existing workflows</li> <li>Learn Vonage Business phone system</li> <li>Strong understanding of cost coding, GL categorization, and financial data accuracy.</li> <li>Able to identify, clean up, and suggest corrections for legacy bookkeeping errors.</li> <li>High attention to detail and willingness to ask clarifying questions when needed.</li> </ul>
