I’m a residential real estate agent based in Wilsonville, Oregon, serving clients throughout the Portland metro area. I’m looking for a proactive and organized Virtual Assistant (VA) to help streamline my business operations, manage marketing tasks, and maintain client relationships.
You’ll play a key role in supporting both client outreach and marketing for listings. The right person will be confident making phone calls to my sphere of influence (past clients, current clients, and leads) to check in, offer help, and maintain relationships on my behalf—with a friendly and professional tone.
In addition, you’ll help manage our listing marketing process by creating and editing Canva flyers, coordinating print orders, and preparing social media graphics. I’m also open to your suggestions—if you’ve helped real estate agents before and know what works, bring your ideas!
Key Responsibilities:
Proactively call my sphere of influence to maintain strong client relationships (scripts and guidance provided)
Log and track outreach in a CRM or spreadsheet
Create and edit listing flyers and marketing assets in Canva
Prepare social media graphics and email marketing content for new listings and just solds
Help with printing coordination for marketing materials
Manage or assist with listing checklists to ensure timely completion of tasks
Organize and maintain client/contact databases
Research tools, vendors, and community events as needed
General administrative support as assigned
Ideal Candidate Will Have:
Fluent and confident spoken English with a warm, professional tone
Experience working with real estate agents (preferred but not required)
Strong Canva skills and basic graphic design sense
Marketing know-how and attention to branding consistency
Familiarity with CRMs and/or ability to learn quickly (we currently use Sphere)
Proactive attitude and ability to take initiative without micromanagement
Organized and reliable with attention to detail
Bonus Skills (Not Required, But Nice to Have):
Social media scheduling experience (Instagram, Facebook, YouTube Shorts)
Email marketing platform knowledge (Mailchimp, KVCore, etc.)
Video editing or coordination
Transaction coordination support experience
