Executive Assistant to Founder (Remote or Hybrid – Flexible Hours)
Location: Remote (East Coast hours preferred)
Position Type: Part-Time, Contractor or Employee (15–20 hours/week to start)
About the Role
We are seeking a thoughtful, highly organized, and proactive Executive Assistant to support the Founder of a growing group mental health practice, nonprofit children’s clinic, and somatic training and coaching institute. This role is central to helping the Founder stay focused on client care, leadership development, and strategic growth, while ensuring operational flow and prioritization across a fast-moving organization.
This is not a traditional administrative role. The ideal candidate is someone who can think critically, communicate clearly, and stay grounded amidst evolving priorities. If you have a strong sense of initiative, can manage multiple systems and relationships, and are comfortable balancing structure with flexibility, this could be a great fit.
Responsibilities
Email and Communication Management
• Review and triage multiple email accounts
• Draft and flag responses as needed, with an eye for tone, clarity, and delegation
• Communicate effectively with team leads to ensure follow-through
• Help streamline communication systems and maintain templates
Calendar Coordination and Time Management
• Build and adjust the Founder’s schedule based on priorities
• Protect time for key focus areas and limit over-scheduling
• Set up regular check-ins and reminders
• Organize meetings and appointments with appropriate context and prep
Daily Check-ins and Accountability Support
• Schedule and facilitate short daily check-ins to review goals and tasks
• Track deliverables and help follow through on commitments
• Support momentum while understanding when to slow things down
Project and Team Liaison
• Follow up after meetings and coordinate next steps
• Help manage small projects, including hiring, fundraising, board prep, and events
• Interface with the Operations Manager and Practice Administrator to ensure clarity and division of responsibilities
• Assist with document preparation and organizing digital materials
Qualifications
• Strong written and verbal communication skills
• Exceptional organizational and time management skills
• Experience working in fast-paced environments, especially with founders or small business owners
• Confidence navigating ambiguity and supporting evolving needs
• Ability to work independently while maintaining connection and alignment
Preferred Experience
• Familiarity with behavioral health, nonprofit, or somatic practices
• Experience using tools such as Google Workspace, Slack, Calendly, and Asana
• Comfort coordinating across teams and anticipating next steps
• Background in supporting mission-driven organizations or leadership teams
Hours and Availability
• 15–20 hours per week to start, with opportunity to grow
• Availability for a morning check-in (by 9:00 a.m. ET) required
• Remote, with potential for hybrid/in-person coordination depending on location
Job Type: Part-time
Pay: $25.00 - $30.00 per hour
Expected hours: 15 – 20 per week
