Hi there! I’m looking for a proactive, detail-loving virtual assistant to help manage the moving parts of mine and my partner’s personal and professional lives. If you thrive on turning chaos into order, love crossing things off a to-do list (especially someone else’s!), and can move vague ideas into clear action plans… keep reading.
This is not just a “check-the-box” assistant role. It’s a blend of admin support, project coordination, system-building, and life logistics. You’ll be helping manage calendars, organize travel, track deadlines, and importantly, keep things moving forward. Bonus if you’re the kind of person who can gently nudge others with kindness and clarity.
We’re looking for someone who can eventually take full ownership of key workflows, tackle the tasks we’ve been putting off, and become a trusted go-to. If you naturally support others with emotional intelligence and executive function, this could be a great fit.
What You’ll Be Doing:
• Light calendar management and scheduling appointments
• Coordinating and booking travel (especially reward flights, points, and upgrades)
• Researching and executing step-by-step processes (like certification renewals, benefit enrollments, etc.)
• Supporting small professional projects (e.g., shifting from a professional contract to a NPA - no legal work, just smart admin support)
• Assisting with reviewing and organizing contracts, forms, and communications
• Setting up and maintaining a clean, customized Notion workspace for tracking projects, to-dos, timelines, and documents.
• Building and refining workflows for both recurring and one-off tasks
• Assisting with personal logistics (e.g., online purchases, gift coordination, reminders)
• Helping us stay accountable to our own goals by reducing mental clutter and following up when needed
What You Bring:
• Experience as a virtual assistant, executive assistant, or project coordinator
• Strong organizational skills and the ability to manage multiple priorities with minimal hand-holding
• Excellent written communication and follow-through (you know how to circle back if something’s incomplete)
• Confidence navigating portals, forms, and online research (government websites, licensing systems, etc.)
• Experience using Notion (or an alternative) to create dashboards, systems, and task trackers - and can set it up from scratch
• A self-starter mindset - you’re someone who spots gaps and offers solutions
• Comfort with tools like Google Workspace, Microsoft office, Slack, etc.
• Emotional intelligence - you can support two busy professionals without adding noise
Nice-to-Haves (but not required):
• Experience supporting professionals in private practice
• Familiarity with reward travel, loyalty programs, or points optimization
