<p><strong>Location:</strong><span> Hybrid (In-Person & Remote) (Yonkers and Manhattan) </span></p><p><strong>Hours:</strong><span> 25 hours per week; Monday–Friday (Hours TBD; schedule may vary based on needs; occasional weekends as needed)</span></p><p><strong>Salary:</strong><span> $25/hour</span></p><p><br></p><p>We are seeking a highly organized, adaptable, and detail-oriented Executive Personal Assistant to support a dynamic executive in managing a wide range of personal, family, and business responsibilities. This is a hands-on role requiring discretion, initiative, excellent communication skills, and the ability to juggle multiple tasks and priorities.</p><p><br></p><p><strong>Key Responsibilities</strong></p><ul><li>Manage daily personal and business calendars, schedule appointments, and coordinate logistics with precision</li><li>Confirm, reschedule, and send reminders for appointments and meetings</li><li>Accompany executive to appointments, take detailed notes, and create action plan task lists</li><li>Assist with project coordination by tracking deadlines and ensuring timely completion of tasks</li><li>Assist with basic contract review, file organization, and online document management</li><li>Support accounting and finance tasks: including data entry and maintaining financial records (i.e., invoicing, reimbursements, and expense tracking)</li><li>Pay bills, track due dates, and maintain records of personal and business finances</li><li>Utilize Microsoft Office Suite and Google Workspace for document creation, data management, and communication</li><li>Demonstrate excellent phone etiquette while managing multi-line phone systems and responding to inquiries</li><li>Monitor, prioritize, and respond to five active email accounts with professionalism</li><li>Receive, open, and manage incoming physical mail and business correspondence</li><li>Scan, file, and follow up on action items from incoming documents</li><li>Process biweekly payroll for employees/contractors</li><li>Communicate about tenant inquiries, maintenance personnel, and service providers</li><li>Track package deliveries and restock business supplies</li><li>Conduct weekly site visits to properties to ensure smooth operations</li><li>Report and document any property issues or needs during visits</li></ul><p><br></p><p><strong>Qualifications</strong></p><ul><li><span>Proven experience as a Personal Assistant or in an administrative role with relevant responsibilities</span></li><li><span>Quick learner with ability to switch between personal, and business contexts seamlessly</span></li><li><span>Strong time management; consistently punctual and reliable</span></li><li><span>Highly organized and detail-oriented with the ability to prioritize tasks effectively in a fast-paced environment</span></li><li><span>Professional writing and communication skills for email and verbal correspondence</span></li><li><span>Excellent typing skills with attention to detail for accurate data entry and documentation</span></li><li><span>Excellent math skills for accounting, budgets, and expense management</span></li><li><span>Strong proficiency with Google Workspace (Docs, Sheets), Microsoft Office (Word, Excel, PowerPoint), and basic accounting tools</span></li><li><span>Dependable, and trustworthy with sensitive information</span></li><li><span>Ability to work independently while being part of a team-oriented environment</span></li><li><span>Comfortable working in a fast-paced, multi-tasking environment</span></li><li><span>Bilingual in Spanish is a plus – helpful for communication with vendors, and community partners</span></li></ul><p><br></p><p><br></p><p><strong>To Apply</strong></p><p>Please email your resume and a brief introduction to:</p><p>hudsonhousemanagement@gmail.com</p><p>Subject line: Executive Personal Assistant Application – [Your Name]</p>
