Personal/Executive Assistant
Job: Part-time 20-30 hours per week possibility of expanding into full time
Location: Fully Remote
Salary: Commensurate with experience
Description: Seeking a dedicated and organized individual to join our team as a Personal/Executive Manager. The successful candidate will be responsible for assisting with day-to-day operations and beyond; providing crucial support to a busy working professional in our firm. This role requires excellent organizational skill, technological and internet proficiency, discretion; and the ability to thrive in a fast-paced environment.
Responsibilities:
- Serve as the primary point of contact for vendors and other external parties
- Manage calendars, organize meetings, and schedule appointments
- Coordinate travel arrangements, transportation, and accommodations
- Keep the employer informed and up to date on the important tasks, appointments, and deadlines
- Communicate with manager at various properties regarding maintenance schedules and other relevant matters.
Compile and prepare daily reports and correspondence
- Coordinate medical appointments, medical records, and prescriptions
Manage email correspondence including, checking, printing, noting, and responding to emails
Perform additional tasks as needed
Skills and Requirements:
- Confidentiality is paramount
Discretion and trustworthiness are essential, as you will handle confidential information
Flexibility and adaptability to handle various tasks in a dynamic environment
- Excellent verbal and written communication skills
Strong organizational skills and the ability to multitask effectively
Proactive nature and the ability to take initiative
Tact and diplomacy in all interactions
Superior time management and efficiency
Ability to receive and implement constructive feedback
Capacity to meet deadlines and remain calm Under pressure
Strong follow-up skills to ensure tasks are completed promptly
Proficiency in internet and computer skills
Willingness to undergo extensive training provided by the current Manager
Legal Assistant or Legal Secretarial experience needed

The current manager is retiring after 37 years and will be available for training purposes
