About the position

The Project Administrator I/II/III at Ahtna Global is responsible for providing project and administrative support for construction and environmental remediation contracts. This role involves planning, coordinating, scheduling, and managing cost accounting to ensure project goals are met within specified time frames and budgets. The position requires effective communication with project managers, subcontractors, and clients, as well as handling various administrative tasks to facilitate project progress.

Responsibilities
• Compose and/or edit letters, memos, reports, and procedures as required by the Project Manager/Project Staff.

• Act as a liaison between the Project Manager/Project Staff and other departments, external contacts, and clients.

• Oversee and process day-to-day administrative items such as expense reports and supply requisitions.
,
• Assist the Project Manager/Project Staff in planning work schedules and assigning project personnel and equipment.
,
• Assist in preparing control documents for payroll, payables, and receivable transactions.
,
• Assist in the development of client invoices with required backup documentation.
,
• Process vendor/subcontractor invoices for payment by verifying quantities, prices, and payment terms.
,
• Code purchase orders, subcontractor invoices, and expenditures for cost collection.
,
• Perform project-related research and data interpretation.
,
• Provide client assistance to Program Managers and manage scope, schedule, and budget on small projects.
,
• Maintain areas of technical expertise and assist with project proposals.
,
• Conduct quality control activities and implement corrective measures for deficient work elements.
,
• Support cost estimating and bid preparation efforts for active proposals.
,
• Maintain records through filing, retrieval, and updating.

Requirements
• Three (3) to Five (5) years of relevant working experience for Level I.
,
• Five (5) to Seven (7) years of relevant working experience for Level II.
,
• Seven (7) or more years of relevant working experience for Level III.
,
• High School Diploma or equivalent for Level I and II; Associate degree in Business Administration or related field for Level III.
,
• Proficient computer skills, particularly in Microsoft Word, Excel, and Outlook.
,
• Current driver's license with a clean driving record.

Nice-to-haves
• Associate degree in Business Administration, Accounting, or a related field (preferred).
,
• Experience with computerized accounting software such as Deltek/Costpoint.
,
• Knowledge and experience with Alaska Native cultures.
