About the position

The Japanese Bilingual Executive Assistant will provide comprehensive support to senior management, including the local president and headquarters executives, while managing various administrative tasks. This role involves scheduling, project support, and ensuring efficient office operations to create a conducive work environment for employees.

Responsibilities
• Manage the schedule of senior management, including the local president and headquarters executives, coordinating meetings and travel arrangements.

• Prepare documents, meeting minutes, and support for important meetings.

• Act as a liaison between the local president and the New York headquarters, handling communications and organizing information.

• Assist with the translation and management of contracts and legal documents.
,
• Support various corporate department tasks, primarily in administration, human resources, and legal affairs.

• Create documents, input data, and manage filing tasks.
,
• Update and distribute internal regulations and guidelines, managing important documents.
,
• Verify expense reports for the local president and process invoices.
,
• Support monthly expense reporting and payment procedures.
,
• Manage progress and information gathering for projects involving senior management, coordinating with various departments as needed.

Requirements
• Proficiency in MS Office (Outlook, Word, Excel, PowerPoint, Zoom, Teams) is required.

• Fluency in Japanese and business-level English is required.

• Experience working in a remote environment is necessary.

• Strong time management skills and the ability to work independently are essential.

• Excellent communication skills and the ability to collaborate with a team are required.

• Professional business etiquette is a must.
