We’re growing fast and need someone to bring structure, accountability, and support behind the scenes.
Job Overview
We are looking for a highly organized, self-motivated Personal Assistant / Bookkeeper to support our operations. You’ll be the right hand behind the scenes—helping manage finances, track jobs, pay bills, assist with invoicing, and help the owner stay focused on high-priority work. This is a great opportunity for someone who thrives in a dynamic environment and can juggle a variety of responsibilities with care and precision.
Key Responsibilities
• Manage and reconcile QuickBooks and monthly bank statements
• Track and organize expenses, receipts, and reimbursements
• Help with overdue tax filings and ongoing tax preparation
• Assist in creating invoices, following up on payments, and client billing
• Manage scheduling, task follow-ups, and light calendar coordination
• Handle emails, bill pay, and basic admin tasks
• Maintain organized digital records of contracts, permits, and job notes
• Communicate with vendors, clients, and service providers as needed
What We’re Looking For
• Solid understanding of QuickBooks and general bookkeeping
• Administrative or executive assistant experience preferred
• Proficiency in Google Workspace (Docs, Sheets, Drive, Gmail)
• Great communication and follow-through
• Highly organized with a strong attention to detail
• Problem solver with a can-do attitude
• Discretion and trustworthiness with sensitive information
Nice-to-Haves
• Experience in the home services or construction industries
• Familiarity with payroll or contractor management
• Comfortable in a fast-paced, changing work environment
• Ability to take ownership and work with minimal supervision
Compensation
• Competitive pay based on experience
• Flexible schedule (some remote work possible, though local preferred)
Job Type: Part-time
Pay: $30.00 - $40.00 per hour
Expected hours: 5 – 10 per week
