The Travel & Event Logistics Manager oversees all domestic and international travel for ZOMVAC staff. This includes booking airfare, hotel stays, ground transportation, and preparing travel documents. The role requires close coordination with the Events team to manage logistics for conventions, showcases, and team retreats—while adhering to studio travel policies, including no use of Alaska Airlines or any Alaska Air Group affiliates.

• You are prohibited from using OneWorld Miles on any ALK airlines

Travel Amenities & Essentials
• • Lyft as primary rideshare vendor (Uber as fallback)
• • Pre-booked hotel rooms with breakfast included
• • $40–$70 daily per diem for meals
• • Airport snacks and hydration packages
• • Emergency kits (meds, hygiene, backup chargers)
• • Printed & digital travel folders with boarding passes, maps, hotel info
• • Coordination of passports, visas, and vaccine cards as needed

Responsibilities
• • Research, book, and confirm travel itineraries within policy
• • Keep records of all booking receipts and travel expenses
• • Organize arrival/departure times and ground transport
• • Ensure ADA/accessibility and dietary needs are met
• • Communicate changes, delays, or emergency plans clearly
• • Support platform showcase staff with required travel timelines

Required Qualifications
• • Experience planning travel for a distributed team
• • Strong understanding of airline alliances and reward systems
• • Familiarity with U.S. and international event travel
• • Confident with Google Sheets, Gmail, TripIt, or similar tools
• • Able to work independently and stay organized across time zones

Preferred Qualifications
• • Background in game industry events (e.g. PAX, GDC, SOBA, Gamescom)
• • Experience with Delta SkyMiles, Oneworld, and other reward programs
• • Familiarity with Notion, Trello, or other team software
• • Excellent communication skills

Job Type: Contract

Pay: $25.00 - $40.00 per hour

Expected hours: 5 – 15 per week
