About the position

The Executive Assistant / Business Analyst will provide comprehensive executive administrative support to the Senior Vice President and Chief Information Officer of Care + Technology, as well as the Managing Director & COO of Care Technology. This role involves managing a variety of administrative tasks, ensuring efficient operations, and supporting senior leadership in a dynamic environment.

Responsibilities
• Perform diversified and confidential administrative duties for department head and senior leadership direct reports as assigned.

• Schedule and organize internal and external meetings including Webex and conference calls, handling logistics for outside guests.
,
• Manage calendar system and enhance efficiencies, making last-minute calendaring decisions based on priority and business needs.
,
• Attend key meetings to record minutes, track takeaways, and manage invitations for guest attendees.
,
• Maintain department organization chart and email distribution lists, ensuring timely follow-up on key deliverables.
,
• Handle travel arrangements using Cigna's online travel booking tool.
,
• Submit accurate and timely expense reports and review expense reports submitted by team members.
,
• Process invoices and support contracting processes for contracts and SOWs with vendors and suppliers.
,
• Plan and coordinate onboarding and offboarding of employees/contractors.
,
• Manage team-wide projects/programs such as team-building events and all-hands meetings.

Requirements
• 5-10+ years of administrative and executive assistant experience.
,
• Experience partnering with support staff for senior leaders and executives in a large dynamic organization.
,
• Collaborative team player with excellent verbal and written communication skills.
,
• Ability to work independently and maintain confidentiality.
,
• Strong sense of urgency and ability to manage multiple tasks in a high-paced environment.
,
• Expert skills with Microsoft tools including Word, Excel, PowerPoint, and Outlook.
,
• Professional demeanor with a high degree of integrity and accountability.
,
• Detail-oriented with a high level of accuracy.
,
• Demonstrated flexibility and a solutions-oriented mindset.

• Technical proficiency with audio and voice equipment, as well as mobile and desktop devices.
