Summary/Objective

The Operations Adminstrative Assistant is responsible for providing day-to-day support to our Human Resources, Benefits, Payroll and Sales department. This role requires maintaining a high level of confidentiality and providing excellent customer service.

Essential Functions * Answer incoming phone calls for all departments, including screening and transferring calls; take and deliver messages.
• Handle general employee and client questions, including employee login issues in HRIS & Benefit software, and W-2 & paycheck requests.
• Respond to routine and general questions on HR, Benefit or Payroll related items.
• Collect mail on-site daily, scan and file mail to appropriate personnel, drop off mail at USPS/UPS, and create labels for outgoing mail.
• Provide administrative support to Human Resources, Benefits, Payroll and Sales Departments, to include hiring/onboarding, printing and mailing checks, and compilation and preparation of data for benefit reports.
• Receive, respond and direct verification of employment documents to third-party representative.
• Assist with a variety of tasks within underwriting support.
• Follow operational workflows and direction from Sales and Underwriting to effectively use workflow management systems. Utilize internal resources to stay organized and efficient.
• Maintain tracking spreadsheet to manage workflow and follow operational guidelines.
• Create and maintain databases and spreadsheet files.
• Assist in the preparation and execution of open enrollment.
• Enter and maintain all garnishments received including child support orders, creditor wage garnishments, and tax levies. At the end of each week, print and mail all live garnishment checks and enter all electronic garnishment payments.
• Register and send via UPS employee pay cards upon request.
• Support the Human Resources Director, Senior Benefits Manager, and Senior Payroll Manager with special projects.
• Maintain regular and punctual attendance.
• Perform other duties as assigned.

Work Environment

While performing the duties of this job, the employee regularly works in an office setting. The Operations Administrative Assistant will be partially in the office and when remote must have a quiet workspace, stable internet connection and the ability to work without distraction.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.

Required Education, Experience, and Skills * High school diploma or equivalent required
• 1 year of office experience
• Expert in Microsoft Word, Exel, PowerPoint and Outlook applications.
• Ability to effectively communicate with patience and a calm demeanor when encountering challenging situations.
• Excellent customer service skills.
• Ability to organize and prioritize work.
• Ability to work in a team environment as well as independently.
• Ability to communicate professionally and effectively.
• Stong attention to detail.
• Highly preferred: Bilingual Spanish

Preferred Education, Experience, and Skills * Associate or Bachelor’s degree in Business, including Administration, Benefits, Finance, or Human Resources
• 1-2 years administrative experience
