We’re hiring an Executive Assistant to the CEO. You will work directly with the founder and leadership of the company. This position will work closely with the CEO and other company leaders and as such will require a tremendous amount of trust and initiative. The position requires reliability, attention to detail, strong interpersonal skills, professionalism, and discipline. We are open to either:

· An ambitious recent graduate or early-career professional who is willing to learn; or

· An experienced Executive Assistant who can step in immediately with full ownership of responsibilities.

Requirements

Executive Support

· Maintain and organize calendars: schedule meetings, coordinate agendas, book travel, and manage preparation time and materials

· Monitor inbox and draft/proof emails

· Prioritize calls, messages, and incoming requests

· Assist in drafting reports, presentations, and documents as directed

· Provide personal support (e.g. travel logistics, appointments, errands, correspondence)

Operations Support

· Execute overall administrative activities for the office

· Perform day-to-day facilities operations such as distributing building access keys and back-up to security access cards, etc.

· Maintain office areas and equipment, as well as layout, arrangement and housekeeping of office facilities

· Perform day-to-day tasks and errands critical to company operations.

· Purchase office supplies, furniture, and office equipment in accordance with company purchasing policies and budgetary restrictions

HR/Recruiting Support

· Perform recruiting activities including, writing job descriptions, identifying candidates, sourcing, phone screens and coordinating interviews

· Process employee benefit enrollments, inquiries, and requests

Special Projects

· Conduct research and gather data as needed for business initiatives.

· Support marketing projects.

· Organize internal meetings, leadership sessions, trade shows, and team events.

Qualifications:

· Bachelor’s degree in Business, Engineering, Accounting, Finance, Economics, or a related field or 2+ years experience supporting a founder, CEO, or senior executive in a fast-paced environment.

· Demonstrated leadership, initiative, in a high-performance organization; or achievement in academics, athletics, internships, or other demanding environments.

· Proven ability to or aptitude to learn to manage complex calendars, communications, and shifting priorities.

· Exceptional organizational skills and attention to detail.

· Strong written, communication, and teamwork skills.

· Ability to work hard, learn quickly, and deliver under pressure.

· Discretion and professionalism handling confidential information.
